How it works
What an event owner gets when its event is housed with us.
Our team sends an RFP to hotels near the event’s venues, with the dates and the rooms needed each night.
Each hotel answers with its own rates and terms, and signs its agreement online.
Families book on the event’s booking page, with hotels sorted by distance to the venues.
When an event is stay to play, families accept its notice before they book.
Team managers can hold rooms for their team and share one link.
The event owner sees pickup by hotel and division, gets a pickup report every Monday, and gets an alert a week before the cutoff when pickup runs low.
After the event, each hotel reports how each stay went: checked in, no-show, early departure or extended stay.
Your destination view
Your events and your hotels, from the bid to the room night report.
Your sports events with their dates, venues and contracted room nights, by arrival month. Each one in its booking window shows On Track or At Risk.
Chains and independents near each event’s venues. Put them forward and see where each one stands, from Not invited to Contracted.
Rooms taken against each hotel’s block while booking is open, with the booking pace and the days left to the cutoff.
Booked and occupied room nights by hotel and by night, as each hotel reports its stays, with your peak night, length of stay and guests per room.
Visitors by state, from the billing address families enter at checkout, with your out-of-state share.
A CSV for your CRM, a CSV of inputs for your impact model, and a board summary as a PDF.

Questions
No. We handle housing for the events that choose us. If your office runs housing, tell us how you work and where a shared view would help.
Hotels near the event’s venues. Our team adds them, and the event owner can tell us which hotels it wants. Your destination puts its own hotels forward from its view.
Yes. A hotel can decline the RFP, or answer with its own rates and terms.
Your destination sees counts and totals: events, room nights, pickup and visitors by state. It never sees guest names or contact details, and neither does the event owner’s pickup report. On a room block’s own page, the event owner and the team holding that block see the guest name and dates of each booking made into it.
There’s no fee for the event owner’s organization. Hotels pay us a commission.
Yes. While booking is open, your view shows pickup at each of your hotels and how fast rooms are going. The event owner sees pickup on its dashboard too, and gets a report by email every Monday.
We can show a stay-to-play notice when the event owner asks for it: our team turns it on for the event. Families see it on the booking page and at checkout, and accept it before they book. The policy itself is the event owner’s.
